Preface – purpose of the book objective

When I talked to some of association members about ‘what we can do for the residents’, they expressed ‘nothing to do’ (we did everything!) kind of expression. I felt this feeling ‘sense of satisfaction or sense of achievement’ prevents us from doing good work. I can put same thing in other words ‘we feel that we can not do any thing more or better’ yet another way of saying this is throwing the ball in others court ‘blaming the system, blaming the boss, blaming the politician etc’. I have written this document to express my views that there are many things we can do. There are many other reasons to write this document

 

I worked as secretary of the association for the past 5 months. In this time I wanted to do many things but I could do only very less I felt it is good at least to document whatever I wanted to do. When I was thinking about documentation many other things came to mind about national development and scientific thoughts. So I decided to record whatever comes to my mind, the result is this document. I prefer to call this document as ‘spray of thoughts’ created by random thinking. Essentially this is documentation of thought process given to public for the purpose of sharing ideas.

 

Biodata

I born in the year 1970 at Pondicherry, India. I finished B. E. Electronics and communication engineering in Mohamed Sathak Engineering College, Madurai Kamaraj University and M. E. in Applied Electronics from College of Engineering, Anna University in 1993. I worked as a lecturer for a year in Bharath engineering College and for two years in St. Peters Engineering at Chennai. Since 1997 I am working as Scientific Officer in Reactor Control Division, Bhabha Atomic Research Centre, Mumbai, India. I was holding the post of Secretary, Nilgiri Residence Association from May 2002 to September 2002(5 months).

In addition to fulfilling my basic responsibilities I am dreaming for better India (Still I have not digested the term ‘Developed India by 2020’) by involving myself in following activities

1. Transform many people to Abdulkalam (I believe I am transformed to Abdulkalam).

2. Divert appropriate people to politics.

1        Introduction

Why I wanted to become member of committee

  1. Service to top brain people

  4. To feel the stress (responsibility)
  5. We tend to blame public service personals how for it is valid to feel

I feel many times than nation is not doing at its best. The same I feel with the organization. Being in the organization I feel I am also responsible for its performance. I spent time to think about how to increase the performance.

People are core of the organization we need good people. We get good people but many tend to leave. I attribute it to lack of satisfaction. Satisfaction can have two components 1. Monitory satisfaction and 2. Mental satisfaction.

I am targeting mental satisfaction. I felt by providing good problems/ service/ facilities/ infrastructure it can be increased. Giving those things at office by me is difficult compared to giving at home. This is a reason to become secretary. 

In this document I share my ideas. Chapter 2 give some clear directions to commit members first 40 points covers general services and next 15 covers health then next 20 covers entertainment next 15 nation related and last 15 association related. Chapter 3 gives some suggestion chapter 4 gives some points for residents. Other chapters cover some general thinking of mine.

2.1      Paint lifts

2.1.1    Paint lifts

Lift can be painted. The argument ‘if painted it will be used as new scribbling pad’ is not good. One of the committee members pointed out correctly in a meeting that if this issue were taken to all the member of the building then most of them would support for painting. Any committee or representative of group of people should take decisions considering its people in mind.

2.1.2    Repair the lights in lifts

(Update with actual problems) In lifts some of the lights ate not working it can be rectified

2.1.3    Lift fans can be replaced to give better air

2.1.4    Emergency lamp can be fixed with lifts

2.1.5    Lift tube lights can be cleaned

At least only electronics portions can be upgraded for error free performance and fast operation

2.1.7    Standard lift guidance can be pasted in the lift

2.2      Building Civil maintenance can be carried out

Cable TV cable and telephone cables are hanging here and there it can be better relayed. (Update with more details)

2.2.2    Balcony drainage pipes can be combined

Water falling in front of the building causes lot of inconvenience 

In some of the main doors Lenz (to see the visitor from inside) not provided (Update with list)

2.2.3    In some flats in bathroom water is stagnant

In 1516 some water stagnant is in the bathroom. When I gave complaint they came and said it cannot be corrected. Some more complaints I received. These kinds of problems (refused or rejected for individuals) can be taken by the committee.

Many people go to APMC Vashi to purchase rice dal etc. They can be invited periodically for example monthly with some sample. They can take order and next day they can deliver the materials. The ideal way would be improving our anushakti nagar co operative stores.

2.6      Provide recommended rates for services

Cost of the following services can be regulated. Milk, Dobi, Servant maid, Paper etc and one notice mentioning these rates can be put permanently on the notice board.

Languages Known (First entry is normally spoken at home), Children schooling, Native place, Technical interest, other details, extra curricular activities,

Updating letterbox details by association is the best way to get up-to-date details from residents. Whenever new allotment takes place the form can be given to new comers to fill (this will be the best time). Earlier proforma were given to residents (Figure 1 NRA Survey proforma) But only around 20 forms (<10%)are returned here I don’t blame residents sufficient steps have not bee taken from my side.

2.8      Have all the service personals details up-to-date

Details of people who are regularly entering (non visitors) can be kept up-to-date this list can include 1. Milk men, Maid servant, Paper men, Dobi, Watch men, Vegitable vendor, APMC person etc. Detais can include Name, Address, Photo, Police verification copy, Entry permit copy, List of flats they go for service, type of service, etc. They must sign the visitor book. These service people can be provided Photo ICARD and name batch from NRA. They should wear icard and name batch when they are in the building premises.

 

2.9      Provide good complaint scheme

One or more of the following complaint schemes can be adopted

  1. Provide Complaint book near the security
  2. Provide Complaint Box near the lift (one in east wing and one in west wing) small sheet and pencil can be hanged near the box. Sheet can contain (pre print) name, flat no, Date, Time, Suggestion/Complaint, Signature
  3. Telephone complaint
  4. Email complaint
  5. Talk to any member

Security can be trained to handle the complaint They can index the complaints, they can take the complaints to appropriate places and record (Astinapur or etc), Processing time can be fixed for example every day morning between 11 to 11:15 all the complaints can be processed and at 11:30 on of the watchman can go to appropriate places to lonch the complaints. The complaints require commit member attention can be given to secretary by the security personal by evening at 8:30 PM.

The may include but not limited to Small lights, small light switches, Big lights, Big light switches, Lift functioning, Lift lights, Lift switches, Big lights surrounding Nilgiri, Park lights, Volleyball ground lights, Door not getting closed, Water line problems, Ellectrical fittings,Cable TV complaints etc

[Committee should do the maximum to the residence convenience at the same time it should minimize their personal involvement in implementation. If the design is perfect it can be implemented easily]

 

2.10 Parking can be improved

Small lane towards parking area near cycle parking can be closed for two wheelers (reduce the width), as it seems danger zone for passengers (I received some complaints earlier). Parking slots can be painted and numbered periodically. Numbers can be allotted as first come first served basis (first time lottery can be used)

2.10.1No parking board can be kept at appropriate places

When security tells visitor not to park the vehicle in front of the building they get irritated (I received some complaints). No parking board will be very useful to reduce this irritation. ‘Visitors are requested to park their vehicle’ board in the entrance of the gate will be useful.

2.10.2Cycle parking

Current cycle parking is inconvenient, parking and unparking is difficult. The current cycle parking can be rearranged and meeting area can also be used for cycle parking. One of the car parking areas can be used for meeting and cultural activities.

2.10.3Car Parking

New car parking area can be constructed to hold around 30+ cars

2.10.4Two wheeler Parking 

Two wheeler parking can be extended to hold 150+ vehicles

2.11 Security

2.11.1Security Booths can be constructed at both the entrance

Readymade may be available in the market, fan and light can be provided inside

2.11.2Security can be provided with appropriate tools

Torch, Stick, Dress (cap, belt, shirt, pant, shoe etc), List of committee members, list of phone numbers etc

2.11.3Security slip can be provide to visitors

Security slip can be provide to visitors (Non DAE) and collected back with residents signature.

2.11.4Security can be used for complaint processing

2.12 Provide wheel bucket for sweepers

Currently they carry garbage in basket on their head, liquid contents may drip on their head these can be avoided by plastic wheel bucket.

Bigger notice board can be provided in both the wings near the lift (6X3 feet or more?)Open notice may cost around 500 each (Plywood, aluminum riper, sponge (to put between cloth and board), velvet or notice board cloth, Fevicol).

This may give only urgent details and mostly it refers to regular notice board this notice board can also contain thought of day

 

2.14 Provide message to residents about Lock

The locking system is new for many people (if the door is closed from outside with key kept inside it is difficult to open). They can be recommended to keep one key with his friend. Contact person can be given in case of key is kept inside.

 

2.15 Provide the residents with important phone numbers

List of phone numbers and locations and name of contact person can be pasted permanently in the notice board. This list may include

Local Police, local fire service, local security, lift complaint, electrical complaint, small tube light complaint, Water complaint, locked door complaint, etc

 

2.16 Get working area for association

It is better to have lockable working are for association (more than a store room)

Some of the bachelors may be ready to share their place for association.

2.17 Up-to-date name display of residents

2.17.1Name display

Names of residents can be updated in Letterbox, Flat door, and Name board kept above letterbox. If the committee takes the updating business, the uniformity can be maintained. One more advantage is that the latest data will become available to the committee

2.17.2Sweepers can be asked to clean letterbox periodically

Many letterboxes are not having numbers in it (metal)

 

2.17.3Metallic name board

Removable metallic name board can be provided to residents to fix on the door. This is costly affair but this may make them to remember Nilgiri for long time.

2.18 Provide cloth-drying arrangement

Plastic coated wire can be used (KG <100 Rs and length may be more than 150 meters). Total budget is around 6000 Rupees for entire building

This is experimented in 15th floor and 7th floor

2.19 Make cable TV reception in a good quality

Many times the quality of Cable TV signal becomes bad this can be corrected. Telephone complaint may be made possible. Refer 2.9Provide good complaint scheme

2.20 Opening in the Meeting hall can be closed

Opening (path to go to NBH) in the Meeting hall can be closed and Switch can be provided for meeting hall tube light

2.21 Try to use small rooms in the back for NRA purpose

Manny (around 7 or 8) small rooms available in the back side of Nilgiri used for garbage collection or some other purpose now it is free these areas can be use for some thing

2.22 Make list of NRA belongings

Nilgiri storeroom can be cleaned and rearranged and stock can be taken.

2.23 Lock the second entrance in odd times

Lock the second entrance in Nilgiri building in daytime and in nighttime (10:30:AM to 4:00:PM and 11:30:PM to 4:30:AM) for better security

2.24 Get a copy of sweeper contract and enforce it

Abstract

It is proposed to beautify Nilgiri by gardening. For this purpose Gardening subcommittee is formed (to be approved by NRAMC) Committee will analyze, plan and implement gardening around Nilgiri. In this process this committee will motivate Nilgiri residents to volunteer for gardening, this will bring out the positive power sleeping inside.

Monthly once working condition of all the light can be checked and if required necessary complaints can be done. I feel even if you provide complaining scheme very simple some residents will be there they may not complaint but the will suffer because of the problem. Many times I feel we Indians are living with extreme level of tolerance, because of this we loose lots of comforts. We should at least raise voice for rights.
